A practical method

A workable shift schedule balances coverage, employee availability, rest periods, skills, and cost. The arithmetic is only one part: the schedule must also show who is responsible, when handovers occur, and which assumptions were used for breaks and overtime. Clear start and end dates are essential for overnight shifts.

1. Define required coverage: List the number of people and skills needed for each time block before assigning names.
2. Place fixed constraints: Add availability, approved leave, maximum hours, and any required rest period.
3. Assign shifts and handovers: Avoid gaps by making responsibility at each boundary visible.
4. Review totals and fairness: Check weekly hours, consecutive days, nights, weekends, and overtime exposure before publishing.

Worked example

A service needs two people from 08:00 to 16:00 and one from 16:00 to 00:00. Assigning only one person to the early shift leaves coverage short even if total weekly hours look correct. Coverage must be verified by time block, not only by summed hours.

Checks, edge cases, and common mistakes

• Treat an end time after midnight as the following date.
• Do not assume every employee has the same availability or required skills.
• Leave enough time for handover when continuity matters.
• Check local rules and agreements for rest, breaks, notice, and maximum hours.
